Days - 3 days per week

Pay - £12ph

Duration - ASAP until Feb 28th

Our client is a well established membership body based in the West End of London. They are looking for an Events professional to assist them for an interim period of time.

Key objectives and responsibilities

Work with the Head of Events and Event Manager to develop and deliver all approved events
Develop effective working relationships with conference convenors, serving as the key point of contact on the lead up to the event and on the day
Oversee budgets for events in consultation with the Head of Events and related convenors
Prepare detailed marketing plans and produce high quality designed materials for promoting conferences to delegates
Liaise with convenors with regard to sponsorship of events
Create content for and update the conference pages on the website
Make all hospitality arrangements for internal and external venues
Create and circulate the abstract book and event programme
Undertake speaker liaison and administration
Make any other logistical arrangements that are necessary for the smooth running of events, including processing delegate registrations
Ensure that all events are accessible and organised within the disability discrimination legislation
Work with the Science Secretary and Director of Science and Communications to set the agenda for the three-yearly Committee meetings, to be circulated no later than one calendar week before the meeting
Complete and deliver meeting minutes to the Science Secretary within three weeks of the meeting
Ensure that conference proposals are delivered to the Committee, and that decisions on successful conferences are communicated to the convenors in a timely manner
Set the dates for future meetings at least one year in advance
Maintain the web page for the Science Committee
Support the venue coordinator and Head of Events in the effective running of venue hire
Support the main office in covering reception, phones and deliveries as required
Work on the updating and improvement of conference office materials including convenor guidance, conference proposal documentation as needed
Be proactive in identifying areas for improvements in the conference programme and offering
Work to improve the efficiency of conference office processes
Participate in team and facilities meetings
Build and maintain positive working relationships with other departments across the Society
Support other conference office staff at their events as necessary
